Process documentation Creation of a Questionnaire Locate the document in its SAP Library structure

Purpose

You can use this process to create a questionnaire and the questions and responses contained in it.

Prerequisites

You have authorization to create questionnaires. You have possibly already created questions and stored them in the question library.

Process Flow

You want to create a questionnaire for the Equal Employment Information category

       1.      You select the EEO Questionnaire Maintenance function on the Recruiter’s start page. The system branches to Questionnaire Maintenance and the Questionnaire Library appears, displaying all questionnaires created thus far that match your selection criteria.

       2.      You select the tab page of the Questionnaire Group in which you want to create the new questionnaire.

       3.      You choose Create. The Maintain Questionnaire view appears.

Note

Alternatively, you can copy an existing questionnaire using the Copy function, modify it as required, and save it.

       4.      You assign a title for the questionnaire in the languages in which you want to use the questionnaire.

       5.      You use a free text to enter instructions on how to use the questionnaire in the languages that you want to use. These instructions are displayed at the top of the questionnaire to assist candidates answering it.

       6.      You assign questions to the questionnaire. Use the search function to help you find questions that are stored in the question library.

Note

Check whether the question texts exist in the languages in which you want to use the questionnaire. If necessary, add the texts in the missing languages.

       7.      You specify which questions are mandatory and must be answered. When the questionnaire is used later, it cannot be saved if these questions have not been answered.

       8.      You can specify the sequence of the questions in the questionnaire.

       9.      You save your entries.

   10.      You check the questionnaire in Preview mode. This displays the questionnaire as the candidate sees it.

   11.      You change the status of the questionnaire to Released and save it again.

The questionnaire is now available for use. In other words, it can be assigned to a process template and sent to candidates.

You want to create a questionnaire for the Evaluable Information category

       9.      If you want automatic ranking of the candidates performed in the Prequalification process, you switch to the Rating of Responses tab page and assign rating marks for the possible responses from which candidates can choose. In addition, you select the expected responses. These are responses that a candidate must give to a question in order to be considered suitable for a job.

   10.      You save your entries.

   11.      You check the questionnaire in Preview mode. This displays the questionnaire as the candidate sees it. You switch to the technical view of the questionnaire to display the marks for responses and the responses flagged as expected responses.

   12.      You change the status of the questionnaire to Released and save it again.

The questionnaire is now available for use. In other words, it can be assigned to a process template and sent to candidates.

Result

You have created a new questionnaire and stored it in the selected questionnaire group in the questionnaire library. Recruiters can now use a process template to integrate the questionnaire in the application wizard, send it to candidates by e-mail, or complete it themselves with the candidate’s responses elicited during a telephone interview.

You can move the questionnaire later to another questionnaire group.
