Process documentation Report Generation Example: Standard Operating Procedure Locate the document in its SAP Library structure

Purpose

When you have created a report template, you can generate documents for the respective application object. You use the report information system to do this. You can send the resulting document using report shipping.

The following process uses the example of a standard operating procedure to explain how you generate a report.

Prerequisites

System Requirements

You have installed the current version of Windows Wordprocessor Integration Structure link(WWI) at your workplace. You will find information on installing WWI in the Implementation Guide (IMG) for Basic Data and Tools under WWI Installation.

Recommendation

We recommend that you generate reports on a server assigned to the EH&S system. A generation PC with generation servers should therefore exist. For more information, see the IMG for Basic Data and Tools under the section Configuration of Generation PCs.

Data Entry

Before you can generate a standard operating procedure, you must enter the relevant work area data and agent data in the system. Which data this is depends on the layout of the template and the symbols used in it.

In general, you should enter at least the following data for the work area:

·         Work area description

·         Industrial hygiene and safety data

·         Exposure profile

For the agents assigned to the work area, the data for the various sections of the standard operating procedure must have been entered in specification management. This generally includes:

·         Hazardous substance description

·         Dangers for humans and the environment

·         Protection measures and safety rules

·         How to behave in cases of risk

·         First aid

·         Correct disposal

Process Flow

Depending on whether the report template contains symbols that relate to agents, report generation is done either in one or two steps:

Template Refers to Agents

This means the template contains symbols that relate to an agent. The symbols can have the symbol type Specification or Descriptor.

Template Does Not Refer to Agents

This means the template does not contain symbols that relate to an agent. These symbols have the symbol type Parameter.

You must first generate a report body.

Recommendation

We recommend you set the Generate manual requests automatically indicator in the generation variant for the report. This means a report body is not generated and you can generate the report directly from the report information system.

To generate a report body, proceed as follows:

1.       In the agent workbench run a search for the required agents.

2.       In the hit list, select the required agents and choose Specification ® Reports ® Create Report.

3.       In the dialog box that appears enter the generation variant for the standard operating procedure, the language, and the key date.

4.       Choose This graphic is explained in the accompanying text.

The report body is now created on the generation server and you can finish generating the report in the report information system.

Generating a report body is not necessary. The report can be generated immediately.

This is done in the report information system.

Note that when you display the report from the report information system, the system enters the address data of the recipient only when you ship the report (see Report).

Result

You have created a document that is ready to be dispatched. You can send this document using Structure linkreport shipping.
