Use

Documents as a central source of information have many uses in the early phase of product development. All members of the development team need access to current document information at all times. On the other hand, they must document the current development result, and provide team members with the new documents.

In the product designer, you can link iPPE objects to a document in the following ways:

·        You create new document in the SAP system, and assign it to an iPPE object.

·        You assign an existing document to an iPPE object.

Prerequisites

Customizing for Document Management

·         Processing of documents uses WebDocuments. The document type that you want to use must support processing on the Web user interface. You make this setting in activitySet Up WebDocuments (BSP).

·         Object links must be supported for the iPPE object type that you want to link to the document of a document type. You make the required settings under Control Data ® Define Document Types ® Define Object Links.

For links to iPPE nodes, an entry for iPPE object PNODID is required.

For links to iPPE variants, an entry for iPPE object POSVID is required.

 Product Designer

You are displaying the object-specific page of an iPPE object.

Procedure

When you display the object-specific page of one of these iPPE objects, the list of views contains the entry Documents.

       1.      Click on the Documents view.

The detail data of this view is loaded. Below the header data screen area, the list of linked documents is displayed in the form of a table.

The table contains data such as the document type, the identifying key data (document number, document part, and document version), and the processing functions for linked original application files (display and change).

The key data is presented as a link.

       2.      Choose the function for document processing.

The following overview lists the essential processing functions, and describes how to proceed.

Create document

(Automatic link)

In this function, the link between the iPPE object and the document is created automatically.

       1.      Choose Create Document.

You see the fields for data input.

       2.      Enter the document type, if it is not already there.

The possible entries list all the document types that support links to structure nodes or component variants for WebDocuments.

Note

This step is not necessary if only one document type is defined in Customizing for links to the iPPE object.

       3.      Choose Continue and enter the data for the document key.

       4.      Choose Continue.

The page is updated. The data that you can enter when you create a document is determined by the system, from the system settings for WebDocuments.

       5.      Process your original application files, for example.

The processing of originals is identical to the process for WebDocuments.  For an overview of functions and hints on how to proceed, see: Editing an Original Application File.

       6.      Enter language-dependent descriptions, for example.

First choose the language, then enter the description.

Choose Copy. The system copies your text to the list of language-dependent texts.

       7.      Save your document. You see an information message.

       8.      To go back to the Documents data sheet, choose Continue.

The new document you have just created is automatically copied to the list of linked documents. The document and the link are saved to the SAP system.

Link document

In this function, you assign an iPPE object to an existing document.

       1.      Choose Link Document.

You see the fields for data input.

       2.      Enter the Document type.

The possible entries list all the document types that are defined for WebDocuments.

       3.      Choose Continue and enter the data for the document key.

To search for a document, click on Input Help. Click on a document to copy its data to the input fields.

       4.      Choose Continue. You see an information message.

       5.      To go back to the Documents data sheet, choose Continue.

The selected document has been copied to the list of linked documents. The link is saved to the SAP system.

Note

If a member of the project team is to complete the document data in the SAP system, you can trigger this process by using a workflow. For example, the setting of a specific document status can start the workflow.
