Loading of Specifications
The following
objects are
specifications of
different
specification
categories in Recipe Management:
● Recipes
● Formulas
● Substances
● Packagings
● Process elements
● Equipment requirements
The Recipe Management information systems contain numerous functions to support you when searching for these specifications when loading them for evaluation or further editing. In addition, you can combine different search criteria and search steps in an extensive and flexible selection process to determine specifications with very specific data and properties. You can also use query management and sets of hits management in Specification Management in the SAP Environment, Health and Safety (EH&S) component to repeatedly access a particular set of specifications quickly.
You can search for specifications and load them in the following way:
● You search for specifications by entering search criteria manually and running the search.
You can enter a large amount of specification data as search criteria. The criteria you enter are linked by AND, which means that the system only selects those specifications that meet all criteria. The standard system also contains extended search functions for all specification categories that are used in Recipe Management. You can replace the search functions that are supplied with your own functions, or add your own functions. For more information about the search functions supplied with the system, see the field helps for the search fields on the search screens or for the short text of the search function.
● You search for specifications by performing a query.
You create a
query by
saving a search after it has been executed or by creating a search step
directly as a query. This means that you can carry out the same operations
when you perform a query as when performing a manual search. However,
specifications that are deleted from the hit list manually are reselected when
the query is performed and not deleted from the hit list.
You can start
a query immediately or as a
drilldown reporting
job in the background. The search result of a drilldown reporting job is
automatically saved as a set of
hits.

Drilldown reporting jobs are available only for searching for substances or packagings.
● You load a set of hits.
You can save the result of complex specification searches or queries as a set of hits. You can use sets of hits to easily and repeatedly access the same set of specifications.
You can load a saved set of hits anytime without searching again. Specifications that are created later are not taken into account in an existing set of hits.

Queries and sets of hits are managed in group trees. Their groups are protected by authorizations and divided into public and private groups. Queries and sets of hits of public groups can be accessed by all users; queries and sets of hits of private groups can only be used by the user who created them.
For more information about queries and sets of hits, see the EH&S component.

When you load a recipe, you get the following change state:
● If you entered a change number while loading, the change state that was created using this change number
● If you specified a change number when loading a specification and no change state with this change number has been created, the system displays the change state that is valid on the valid-from date of the change number or the date that is as close as possible to this date.
● If you entered a key date while loading, the change state that is valid on the key date or on the date as close to this date as possible
The specifications found by the system are clearly displayed in a hit list. The hit list provides the following options:
● You delete individual specifications from the hit list manually (see Searching for Specifications).
● You carry out further searches by extending, refining, or reducing the search result (see Searching for Specifications).
● You execute a where-used list for selected specifications (see Searching for Specifications).
● You copy specifications from the hit list to the navigation area using drag and drop, for example, to your favorites in the recipe workbench.
● You double-click a specification to call it and can then display or edit it.
● You save the query and the set of hits using the Utilities menu option.
● You start the data output.
