Definition

Groups together all parameters that are used to define and control report shipping. The report shipping order can be requested manually or automatically.

To send reports (such as material safety data sheets, tremcards, or labels), the following objects exist:

The number of reports within a package is limited by the size of the shipping object used (C4 or C6 envelope, for example). A shipping order package can also contain a cover sheet and acknowledgement of receipt.

Structure

The report shipping order provides you with information about:

·        Shipping order ID

·        Shipping reason (for example, generated manually, generated by Sales)

·        Business process (for example, material safety data sheet shipping)

·        Target shipping date and shipping date with time of shipping

·        Report shipping order type (report, cover sheet, or acknowledgement of receipt) and shipping object (for example, envelope that holds 10 sheets of paper or e-mail that can send up to 1 MB of data)

·        Status (for example, waiting for goods issue check, ready)

·        Communication type

The communication type depends on the recipient and the shipping reason. Possible communication types are e-mail, letter, and fax (see Order Package Shipping).

·        Output device

If the report is to be mailed as a letter, you will need to specify a printer.

·        Subsequent shipping indicator

Recipient Parameters

You can use the environment parameter SRE_DS_SDSREC in Customizing for Basic Data and Tools under Specify Environment Parameters to specify whether the recipient of a report is to be a company or a person (contact person).

The following kinds of address management are supported:

·        Address management in the SAP Sales and Distribution (SD) component (customers with partner function MSDS recipient)

·        Address management in SAP user administration (for manual report shipping only)

·        Address management in the SAP component Product Safety (for manual report shipping only)

As well as name and address, you must also specify the valid communication types for every recipient.

Report Parameters

The following parameters are displayed:

·        Parameters that describe the report (for example, specification, generation variant, language, report category, version, report status, and relevance indicator)

·        Parameters that are assigned to the report (for example, material name and material number)

Note

If a report is not shipped for a specification or material, but for another object (for example, Person who had accident), you can display the key of the object from the report shipping order hit list by choosing Goto ® Parameter Values.

Independent of whether you have set the final report indicator and specified parameter values to be saved, the keys for the objects for which a report was shipped are never deleted unless you delete the whole report shipping order (see also Saving of Report Shipping Orders).

·        Document key

·        Document format

·        Document size

Control Indicators

The SAP system stores the administration data and control indicators. In addition to the date of creation and name of the person who created the report, the date and person responsible for the output check and the acknowledgement of receipt are logged.

Note

You can make changes to certain parameters of the report shipping order, depending on the status of the report shipping order, if shipping cannot otherwise be carried out. For example, it may be necessary to change the communication type Letter if a printer is defective. The SAP system stores the name of the person who made the changes and the date of the changes.

User Exit to Sort Parameters

You can adapt the standard selection of header data and parameter data for report shipping orders to your specific requirements using a user exit. In addition, you can use an indicator in the user exit interface to prevent a report shipping order from being created.

Note

If you want to use the enhancement, you must:

·         Assign the function module that contains your enhancement to the user exit category SRE_DIST1 in Customizing for Basic Data and Tools under Manage User Exits. You can choose any user exit name you wish.

·         In Customizing for Product Safety under Assign Names for User Exits, assign the user exit name to the event (user exit type) CREATE. You can make the assignment depending both on the shipping reason and on the communication.
