Prerequisites

·        You have the required authorization that can be controlled using the following objects:

¡        Authorization group

¡        Report category

¡        Report status

¡        Rating (for reports with reference to a specification)

¡        Validity area (for reports with reference to a specification)

In report shipping, the SAP system also checks whether you have authorization for the sales organization to which the report is to be sent.

·        You have installed the current version of Windows Wordprocessor Integration (WWI).

·        To display inbound reports, you have installed on your front end an application that can output the format of the inbound reports (see Setting Up Shipping of Reports in Any Format).

Process Flow

Access and Searches

You can access the report information system in several ways:

·        From the menu

You can open the report information system from the menu in the following EH&S components:

¡        Product Safety

¡        Hazardous Substance Management

¡        Dangerous Goods Management

¡        Waste Management

¡        Industrial Hygiene and Safety

A selection screen is displayed where you can determine reports according to various criteria. All reports found are displayed in a report tree.

You can also select inbound documents using criteria such as by specification, report category, or report generation variant.

·        Other forms of specification-related access

You can branch to the report information system hit list from various specification displays. The reports and inbound documents assigned to the relevant specifications are displayed. You can access the report information system from the following places:

¡        From the specification workbench hit list, the specification header data screens, and the property tree

¡        From the report shipping order hit list

·        From other objects

In the SAP component Industrial Hygiene and Safety you can access the report information system from the following objects:

¡        Work area

¡        Incident/accident log

¡        Measurement project

·        From applications in the SAP component Sales and Distribution

If you access the report information system from the applications in the SAP component Sales and Distribution, the reports for each Material object are displayed. The report information system can be accessed from the following applications by Remote Function Call (RFC):

¡        Sales order

¡        Customer quotation

¡        Customer inquiry

¡        Delivery

¡        Shipment

Displaying and Printing Reports

Reports are displayed and printed in Microsoft Word. The SAP system assigns default values for the symbol type Parameter (see Default Parameters for Reports).

You can print the report in Microsoft Word.

In addition, you can select several reports in the report tree. You then send them to an SAP system printer via the SAP spool.

Shipping and Exporting Reports

If you have the appropriate authorization, you can send reports with or without a reference to a specification and inbound reports. You can also use the export function.
