Function documentation Changing the Personnel Area for Personnel Assignments Locate the document in its SAP Library structure

Use

The system can only run payroll if all the employee’s personnel assignments that are grouped together for the payroll run are assigned to the same payroll area. Therefore, we recommend that you do not change the payroll areas of the personnel assignments.

Example

There are three employers in your enterprise. Your employees pay amounts into a savings plan. The amounts they pay in are calculated from the current payments; this means that the data is calculated during the payroll run and are not fully stored in the employee’s master data. The payments to the savings plan must not exceed a certain amount each year per person, so for all an employee’s personnel assignments.

In such a case all an employee’s personnel assignments must belong to the same payroll area. Otherwise the system cannot run payroll for these personnel assignments together and so could not calculate a general annual total amount. However, the personnel assignments can be assigned to different employers.

Features

As in a system without concurrent employment, you cannot change the payroll area for a personnel assignment later on in a system with concurrent employment.

If you want to change the payroll area of a personnel assignment for future payroll runs, you must do it simultaneously for all the employee’s personnel assignments for which payroll was run in the same payroll area.

Example

There are two employers in your enterprise:

·         Employer A only employs salaried workers and payroll is run once a month. You use payroll area M1.

·         Employer B only employees hourly-paid workers. Some of them have payroll run for them once a week, others once every two weeks. You use payroll areas W1 and W2.

You want to convert payroll for some of the concurrently employed employees of employer B from weekly payroll periodicity to two-weekly periodicity. This means you have to assign these employees to payroll area W2 instead of payroll area W1. An employee has two personnel assignments with employer B in payroll area W1. He or she has another personnel assignment with employer A in payroll area M1.

For this employee you must change the payroll area for all personnel assignments, which were previously assigned to W1, to W2. However, you do not have to change the personnel assignments of other employees, who are assigned to payroll area W1, to payroll area W2. Likewise, the personnel assignment of the employee that belongs to payroll area M1 also remains unchanged.

If you only change the payroll area for one of several personnel assignments of a concurrently employed person that belong to the same payroll area, during payroll the system rejects all the employee’s personnel assignments that belong to this payroll area.
