Customizing Reconciliation
Before you can use the Federal Government reconciliation tool, you need to create a data slice and reconciliation rule for the process.
You need to create at least one data slice and one reconciliation rule.
A. Data Slices
To create a data, slice proceed as follows:
1. Go to the Public Sector Management (PSM) part of the Implementation Guide (IMG) and choose Basic Settings ®Reconciliation ® Create Data Slice.
The Choose Data Slice screen appears.
2. Choose Create to add a new slice. Enter the following in the popup that appears:
¡ A Slice ID of up to eight characters
¡ The Data Provider for this slice
We deliver seven of these at this time. Choose F4 to display the data providers available. It is not currently possible to create data providers of your own.
3. The bottom half of the screen proper now shows the default fields to be included in the initial data selection per the data provider you chose. You can process this selection by:
¡ Adding fields
¡ Specifying, in each case, whether
¡ INCLUDE/EXCLUDE
¡ Comparison
¡ Range, if selected
4. The top half of the screen proper shows three tabs which you can maintain to suit your requirements. On the Basic Data tab, make entries as follows:
¡ A name for the slice and a short name
¡ Calculation Settings
§ Use the Amount Field option to specify which amount is taken from the data provider – debit only, credit only, or both.
§ Enter “I” in the Opening Balance field to include opening balances in the reconciliation. Enter “E” to exclude them.
¡ Derivation Settings
§ You may want to break down the reconciliation analysis into smaller sections with their own subtotals. Where this is the case, you need to use the derivation tool to tell the system how to calculate the subtotals.
§ To do this, use the Unmatched Flag field to tell the system what to do with unmatched items. The options are to exclude them from the reconciliation or to include them, but mark them “Unassigned”.
§ Use the Define Subtotal Set toggle to access the derivation tool, where you specify the derivation rules and other attributes you need to apply.
With the entries on the Basic Data tab complete, you can proceed to the other tabs.
5. Documentation
If desired, use this tab to enter a text detailing any additional information you require for the slice.
6. Rule Usage
This tab shows which rules use this slice. Since this is a new slice, this tab is blank at present.
7. When you have finished, save your entries.
B. Reconciliation Rules
To create a reconcilation rule, proceed as follows:
...
1. Go to the Public Sector Management (PSM) part of the Implementation Guide (IMG) and choose Basic Settings ®Reconciliation ® Define Reconciliation Rule.
The Display Reconciliation Rule screen appears. The left side shows a list of the existing rules.
2. Choose Create to add a new rule.
3. In the resulting popup, enter an ID for the new rule.
4. The screen proper is divided into two halves. The top half contains three tabs.
5. Basic Data
On this tab, enter a name for the new rule and the system ID of the person to be notified in the event that the two sides of the equation to be worked in this rule do not match.
The bottom half contains the facility for entering the data slices that are to be compared in the reconciliation. You can enter up to six slices for each side of the equation. You need to maintain these entries before proceeding.
6. For each side of the equation, do the following:
¡ Choose Insert Row
Specify whether the new row is to be added to the calculation or subtracted from it
¡ The ID of the data slice to be inserted at this point
7. Field Usage
This tab shows the fields from the data slices used for the equation. Do the following:
¡ Check the Selection Field box for each field you want to have appear as in the selection screen when the reconciliation analysis report is run.
¡ Specify, for each field:
§ First level breakdown
Optionally, select a field to be used by default to provide the next level of breakdown following the subtotal from the derivation tool.
§ Second level breakdown
Optionally, select a field to be used by default to provide the next level of breakdown following the first level breakdown above.
§ On demand
Use this setting for any fields that may be used on demand as a breakdown during a reconciliation analysis.
§ Not required
Use this setting for fields that are never required for use as breakdowns.
8. Documentation
If desired, use this tab to enter a text detailing any additional information you require for the rule.
9. When you have finished, save your entries.
Once you have defined the slice(s) and rule(s) you need, reconciliation customizing is complete. You can now carry out reconciliation processing.
