Use

The correspondence tool allows you to create correspondence to the business partner on the basis of single requests (event-controlled generation of correspondence), and mass requests (periodic generation of correspondence).

It forms a framework for creating correspondence and thereby enables standard processes, a standard appearance and standard results.

Correspondence is defined specifically for each application area. It contains shared attributes such as the recipient, recipient address or sender. The data collection for these attributes is displayed identically for all correspondence types of an application area.

Integration

The reference data is saved in the correspondence request when this is created.

·        In most cases the correspondence request does not save all data generated from an application, but only key data that refers back to the original data. For example, the loan key, the recipient or partner number, the reference date and the letter date, as well as the correspondence type and the dispatch control type. In a business operation, the correspondence request saves the business operation number.

·        Correspondence data stored centrally can be used for different purposes (for example sorting, repeat print).

Correspondence is formatted by means of Smart Forms using the print program created by the Print Workbench. The data can be formatted for direct printing or as XSF/XDF format for transfer to an external Output Management System (OMS).

Correspondence request

SAP differentiates between the creation of event-controlled and periodic generation of correspondence requests. In doing so, the system executes correspondence type-specific events (BTEs).

·        Event–Controlled Correspondence

You can generate this in connection with a business operation or from within the contract.

·        Periodic Correspondence

This is regularly reoccurring correspondence which you generate using the functions for file processing in Process Management.

Correspondence print

During the correspondence print run, the system determines the correspondence data saved in the correspondence request in the context of correspondence generation and transfers it to the print program created using the Print Workbench. The system prints the data immediately by default. However, you can schedule the print run for a later point in time.
