Before you can use all the functionality of Travel Planning, a number of presettings and prerequisites must be fulfilled.

Connection to an External Reservation System

The online booking functions in Travel Planning are integrated with external reservation systems that communicate with the service providers. This integration enables SAP users to access the following functions:

     Check availability of travel services

Additional information about selected travel services

     Price information

Processing of reservations by the respective provider

Synchronization of the data in SAP Travel Planning if booking changes have been made in the external system

To be able to use a reservation system (see Travel Planning), your company must have signed an agreement for use of the system and be registered in the system with a user ID. In addition, a network connection to the reservation system must be open.

Recommendation

The latest information on setting up connections to reservation systems can be found in SAP Service Marketplace at http://service.sap.com/tm.

Customizing

You make the settings for the connection to a reservation system in Customizing. The settings can be found in the Implementation Guide (IMG) under Accounting ® Travel Management ® Travel Planning ® Master Data ® Travel Planning Control Parameters. For more information, see the documentation for the individual IMG activities.

Additional Settings

Authorization Concept

SAP users can only book trips in Travel Planning for themselves or for others if they have authorization.

For more information, see Authorization Checks in Travel Planning.

HR Master Data

In order to plan and book a trip using Travel Planning, a trip-specific mini-master record with a personnel number must exist in the SAP system.

For more information, see HR Master Data in Travel Planning.
