Use

You use copy tasks if you want to copy financial data (individual financial statements and/or additional financial data) from one version (source version) to another (target version).

Example

Suppose you want to generate financial statements for consolidation group CG1 in a different currency than in consolidation group CG2. For this purpose you can copy the individual financial statements and the additional financial data.

Prerequisites

In Customizing for Consolidation, you have made the following settings under Data ® Data Collection ® Copy Tasks:

In the target version, you can assign a new data transfer method called Copy in the master records of the consolidation unit. These assignments are merely informational. (The entries you make in the steps Define Consolidation Groups to be Copied and Define Consolidation Units to be Copied take precedence.)

Features

Copying Data from the Source Version to the Target Version

A copy task copies financial data from a source version to a target version.

You can only change the financial data in the source version.

Source Tasks for Individual Financial Statements

You can use the following types of tasks as source tasks:

The scope of the data to be copied thus depends on the assigned source tasks.

The system executes a copy task as follows:

Source Task

Posting Level

In the Source Version

In the Target Version

Data collection

00, Space

The system copies totals records from the source version.

Any existing totals records with these posting levels are deleted.

Manual posting and/or reclassification

£ 10

  • The system determines the document types that belong to these source tasks, and...
  • ...copies the documents of these document types

If a data entry task is assigned to the copy task, the system also copies the manual documents with posting levels 01 and 10 that are not assigned to any task. Any existing documents in the target version with these document types are reversed or deleted.

Item substitution

08

The system copies totals records from the source version.

Any existing totals records are deleted.

Additional Financial Data

In Customizing for the copy task, you can specify the scope for copying the additional financial data.

If you specify that investment data is to be copied, the system can copy the additional financial data for the investments to the target version.

If data records are the same, only the modified values are copied and the activity number is retained. Otherwise, the system assigns new activity numbers. The system deletes all other investment data records contained in the target version.

Currencies

If the group currency is the same in the source and target version, the system also copies the group currency values to the target version.

If the group currency in the target version is the same as the local currency of the consolidation unit, the system copies local currency value to the group currency value.

In all other cases, the system initializes the group currency value.

Application of Copy Tasks to Consolidation Groups or Consolidation Units

In the standard system, the totals data is copied from the source version to the target version across consolidation groups.

In Customizing for the copy task, however, you can specify that the copy task should only be applied to the totals data:

If you make changes afterwards to the copied organizational units, you must reset the status in the data monitor.

The Copy Task in the Data Monitor

The copy task appears in the data monitor of the target version.

You must not reassign the source tasks to the task group – instead, the source tasks automatically appear to the right of the copy task for your information. A symbol identifies the source tasks as copied tasks.

Status management functions across versions: a source task of the source version is treated like a prior task of the associated copy task in the target version.

Note

The status display may become inconsistent if you change the customizing settings of the copy task after you have called up the data monitor (for example, by specifying a new consolidation group to be copied or removing a consolidation group). In that case, reset the status.

Example

Suppose you want to use a copy task to copy the financial data (individual financial statements only), the validated financial data, and the reclassifications (posting level 10) from the source version to the target version.

You define a copy task (CT).

You assign the following source tasks to the copy task:

1200

Collection of Financial Data

1300

Validation of Reported Financial Data

1400

Reclassification

The data monitor displays the copy task and the source tasks:
