User-Defined Texts and Documents 
With this function you can assign documents that were not created in the SAP system to a work area or incident/accident log entry. Examples of this type of document are emergency response plans, photographs, or sketches of accidents. The Document Management (CA-DMS) component is used to import and manage the documents. Once you have assigned a document, you can display it directly from the respective work area or incident/accident log entry.
You can also create texts of any chosen length with the SAPscript editor (user-defined texts).
If you wish to, you can control the use of the function by using authorizations. For example, you can assign special authorizations for changing and displaying documents.
You have made the necessary system settings in Customizing for Industrial Hygiene and Safety under Specify User-Defined Text Types.
The authorization check is not activated in the standard system. To run a check, you must make the necessary settings for the authorization object C_EHSI_DOC and activate the check in another step. You must also extend the authorization profiles for the users accordingly. For more information on setting authorizations, see the Implementation Guide (IMG) for Industrial Hygiene and Safety under Specify Authorizations.
· Assignment and display of Document Management System (DMS) documents
If the necessary settings have been made in Customizing, you can assign all document types in the DMS to the work area or incident/accident log entry and display the respective documents with a double-click. The prerequisite for display is that the application required for the respective document is installed locally.
· Creation of user-defined texts
You can create texts of any chosen length using the SAPscript editor.

For the work area, you can also use the work area description function.
You call the function by choosing Goto ® User-Defined Texts, Documents in the hit list.
