Procedure documentation Archiving - Maintain Variant (PA-PF-XX) Locate the document in its SAP Library structure

Use

Each time you perform an archiving run, even a test run, you must maintain an individual variant. This variant enables posting data to be written to an archiving file.

On the specified start date, the archive file is written to the output device that you specified in the spool parameters. In the activity Delete, the archived data is deleted from the system’s database.

Prerequisites

You have accessed the Archive Administration: Create Archive Files screen.

Procedure

  1. Enter a variant name, and choose Maintain.
  2. If necessary, define whether you want to use the variant for all selection screens or just for archiving posting documents, and choose Continue.
  3. From the selection, choose the required pension fund and the date for the posting documents to be archived.
  4. In the Restriction of Documents to Be Archived group box, choose a value type attribute and use the radio button to select whether you want all posting documents to be archived or whether specific posting documents should be excluded.
  5. In the Technical Control group box, choose one of the radio buttons:
  1. In the Archiving Session Note field, you can enter a comment that characterizes the archiving run.
  2. Choose Attributes.
This takes you to the ABAP: Save Variant Attributes screen.
  3. Make the required settings, and save the variant.

Note

You are advised to start the archiving run as an initial test run so that you can identify and solve any errors before archiving properly. In this case, the system does not create an archive file or delete the table entries.

Caution

If you want to use the same variant for the productive archiving run, you must use the job overview to delete the successful test run.
