Process documentation Loading Employee Data from a Non-SAP System into SAP Payroll Locate the document in its SAP Library structure

Purpose

If portions of your employee population are paid outside of the SAP payroll system, it may be necessary to transfer payroll information between systems. For example, if an employee transfers mid-year from a department being paid on a non-SAP system to another department who is paid on SAP, it would be necessary to import into SAP all year-to-date payroll results for this employee. This ensures that taxes are calculated correctly for this employee and makes earnings information available for tax reporting in SAP.

Prerequisites

You have access to a program that converts employee data on your non-SAP system to a format that is compatible with SAP Payroll.

Process Flow

  1. Define pay period, wage type, and tax/arrears tables in the Transfer Old Data chapter of the Payroll USA Implementation Guide (IMG).
  2. Run a payroll data conversion program to populate the period, wage type, and tax/ arrears tables with the employee data to be imported into SAP Payroll from the non-SAP system.
  3. Note

    The conversion program required for this process is not delivered with the standard SAP system.

  4. Execute the payroll driver using Schema ULK9. The payroll driver extracts the data stored in the pay period, wage type, and tax/ arrears tables and stores this data in the SAP payroll results cluster. This data is then available for use in tax reporting. When you run the Tax Reporter: Preparation step at the end of a reporting period, the system automatically incorporates data for transfer employees in tax reporting for this period. Result

Employee data from the non-SAP payroll system is transferred into SAP and is stored in the payroll results cluster.
