You can create, change, and display real estate contracts. Below is a description of how to create a real estate contract.

       1.      On the SAP Easy Access screen, choose

Accounting ® Flexible Real Estate Management ® RE Navigator ® Real Estate Contract ® This graphic is explained in the accompanying text with the quick info text Create.

Note

You can search for existing contracts in the system according to various criteria, and display and change them. For more information, refer to Functions in the RE Navigator.

       2.      In the initial screen, enter the contract type and company code.

Note

Depending on the setting in Customizing, the number of the contract can be assigned externally or internally. Read the documentation for the Number Range for Contracts IMG activity.

 

General Data Tab Page

Enter a name for the contract and the current tenancy law. You can also make entries for purely informational purposes, such as the industry for commercial contracts. If you want to settle the condition amounts based on sales, set the Relevant to Sales indicator. The Sales-Based Rent Agreement tab page is displayed, where you can define the reporting rules and sales rules for sales-based rent settlement.

In the Status Display area, you can activate or deactivate the contract by choosing This graphic is explained in the accompanying text with the quick info text RE Contract and display the current status.

General Data with Fast Entry

In Customizing you can specify that the system displays the General Data with Fast Entry tab page in the contract master data for certain contract types (such as residential lease-out) rather than the General Data tab page.

On this tab page, the data you need to enter most frequently can be entered in a simplified, faster form. This data can include:

·        Rental object or cost center

·        Business partner

·        Data dependent on the contract term

·        Organizational assignments

If you need to make more detailed entries than allowed in a particular fast entry field, or if you want to edit the data, or assign more than one object, choose This graphic is explained in the accompanying text in front of that fast entry field. Depending on the field, this pushbutton has a different quick info text. The quick info text for the given pushbutton indicates for each field which tab page then appears.

 

Partner Tab Page

Here you assign the role and name of the business partner(s) to the contract. You can assign only one main contractual partner in any given time period (for example, a partner with customer account for a lease-out). However, you can assign main contractual partners one after the other in different time periods.

You can go to the master data of the business partner by choosing This graphic is explained in the accompanying text with the quick info text Business Partner Master Data. If you are authorized to do so, you can change the master data by choosing This graphic is explained in the accompanying text with the quick info text Change.

Term Tab Page

Here you define the contract term, periods of notice, and renewal rules for fixed-term contracts. Choose Term in the table. The Term and Memo tabs are displayed in the lower part of the screen. Enter the following data:

a)       The contract start date for open-ended contracts. The contract start date is automatically defaulted for the date of first posting.

b)       In the case of fixed-term contracts, also enter the date the first contract ends. The system calculates the term in months and sets the status of the contract (for instance, Created).

Objects Tab Page

Depending on the contract type, you can create new objects in the real estate contract or assign existing objects to the hierarchy with a time restriction.

Contract Measurements Tab Page

You can also define measurements directly for the contract. For example, you might want to define conditions that do not relate to measurements on objects contained in the contract, or you might want to enter a different area on the contract than a rental object actually has.

Posting Parameters Tab Page

Here you define time-dependent posting terms, and terms for payment frequency and organizational assignments (profit center, business area).

Conditions Tab Page

Here you define time-dependent condition data for the real estate contract or for the rental objects of the real estate contract.

Adjustment Tab Page

Here you specify the rules for adjusting conditions. Depending on your Customizing settings, you may also be able to change the rules here.

Settlement Participation Tab Page

The upper table provides an overview of the rental objects that participate in service charge settlement. These objects are determined by the object assignment in the contract. The periods of rental objects are derived from their assignment to settlement units.

The lower table provides an overview of the settlement participation of the object you select. You can change the validity period and the participation type. Changes are shown in the status column by the icon This graphic is explained in the accompanying text.

Option Rate Methods Tab Page

Here you specify the option rate method for determining the option rate for the contract.

Resubmission Tab Page

Here you enter the rules that the system uses for calculating resubmission dates. For example, you could use the From date... every ... months rule in order to generate semiannual resubmission dates starting on a given date.

Overviews Tab Page

In the dropdown box you can choose various overviews.

Tenant Account Overview:

An overview of the tenant account is provided here, where you can see all items for the tenant, either individually (open and cleared) or cumulatively (by period). From the tenant account you can set up installment payments for the tenant for certain open items, or write off open items as irrecoverable debt.
