Procedure documentation Displaying a Prenote Locate the document in its SAP Library structure

Use

For an account, you can display a single prenote and an overview of all prenotes, or of all prenotes from a particular period of time, or all prenotes with a particular status.

For an overview of all prenotes in one bank posting area that have the status Expired, or an overview of all expired prenotes from particular prenote types, choose Account Management ® Account ® Turnovers, Balances and Key Figures ® Prenote ® Display Expired Prenotes.. You can find more information on this under Expired Prenotes.

You can also display prenotes by using the BAPI interface for displaying individual prenotes: Prenote.GetDetail (BAPI_BCA_PRENOTE_GET_DETAIL), or by using the BAPI interface for displaying all prenotes: Prenote.GetList (BAPI_BCA_PRENOTE_GET_LIST). Prerequisites

You have create the prenote either online, by means of a BAPI, or by means of a PLM Document in Posting Lock Management.

Procedure

...

       1.      From the SAP Easy Access screen, choose Account Management ® Account ® Turnovers, Balances and Key Figures ® Prenote ® Display Prenote. The system displays the Prenote Display initial screen.

       2.      In the Account group box, specify the identification of the account, to which the prenote to be displayed is assigned.

       3.      You have various options for this:

¡        To display all prenotes for the specified account, do not make any more entries, but choose Enter.

¡        To display a particular prenote, specify the prenote reference number and choose Enter.

¡        To display more than one prenote, or if you do not have the prenote reference number, use the Selection Criteria group box to select prenotes by creation date, expiry date and/or status, and then choose Enter.

       4.      The following options are available, depending on your specifications on the initial screen:

If there is only one prenote that corresponds to your specifications on the initial screen, and you have not specified any details in the Selection Criteria group box, the system displays the Prenote Display main screen.

If, however, there is more than one prenote that corresponds to your selection criteria and/or you have specified details in the Selection Criteria group box, note the following:

                                                  i.       The system displays the Prenotes overview screen. There the following information is displayed in a table: The prenote reference number, time created, status as a number, status as a text, relevance to posting control, date created, end date, currency and amount of the individual prenotes.  Items that are relevant to posting control and items that are not are balanced separately and sorted according to status. You also have the option of re-sorting.

                                                ii.       Choose the prenote you want to display by double-clicking on the appropriate line. The system displays the Prenote Display main screen.

       5.      The main screen is structured as follows:

¡        Group boxes Account and Prenote are in the upper screen area:

The system displays the account identification and the prenote reference number that you specified on the initial screen, and the prenote type and prenote status.

¡        Tab page Detail Data:

The system displays all additional data that you entered when you created the prenote (see Creating Prenotes). In addition, the system displays the posting date when you create the prenote, and it also displays the Valid To date (expiry date) and expiry date of the prenote.

Note

The expiry date of prenotes that are Active is the same as the Valid To date.

¡        Tab page Administration:

The group box Checks Deactivated By shows whether material checks were deactivated, and thus not run when you created the prenote.

The group box Administrative Data shows when the created was created, who created it, if it was changed, and whether it was created online or with a BAPI.

The Archiving group box shows when the system archives the prenote after it is deleted logically, if it can be archived according to your settings in the Customizing for Account Management (FS-AM) under Item Management ® Prenote ® Define Prenote Type. If the prenote cannot be archived, the system displays the date after which the prenote is checked again to see if it can be archived.

       6.      If you display a prenote with the Active status (only if you have already made a change since it was created), Matched or Deleted, you can call up an overview of all changes made to this prenote by choosing Goto ® Change Document on the main screen.
