Confirm Goods Receipt 

Screen Structure

On the left-hand side of the screen, you can see two tab cards: Confirm and Display. Using these, you can create confirmations for goods you have received or for services that have been performed, or can display confirmations you have already created.

Underneath these tab cards is a default list containing all purchase orders that you have processed in the last 30 days. To view other purchase orders use the search on the Confirm tab card.

Creating Confirmations

  1. Choose the Confirm tab card
  2. Select a purchase order from the list or use the search.

Searching for purchase orders

You can enter the following search criteria:

Choose Go, to start the search.

  1. An overview of the selected open confirmation is displayed to the right the screen.

At header level, the confirmation contains the following information:

Number of the purchase order

Purchase order number

Confirmation name

You can enter a description here to identify the confirmation

Confirmed on

The current date is set as default.

Reference document number

You can enter the vendor's document number here, that is the number under which the vendor or service provider is processing the confirmation

At item level, the confirmation contains the following information:

Description

Item description

OK

This box is checked as default. If you do not want to confirm this item, deselect this box.

Quantity

The quantity remaining to be confirmed is displayed here, you can change it.

You can change the account assignment category and related auxiliary account assignment if the field is ready for input

In the case of multiple account assignment, you have to go to the detail view, select the Account assignment tab card and change the data there.
If the confirmation is to be transferred to the backend system as a goods receipt, you cannot change the account assignment.

  1. To display detailed information for an item, double-click on the description of the selected item, the detail screen appears on which you can see two tab cards, Details and Account assignment.

On the right-hand side of the screen, you can use to jump to the previous item in the confirmation, and to jump to the next item, if there is more than one item you want to confirm.

  1. Choose Overview to return to the item screen.
  2. Choose Confirm to save a confirmation. This starts the approval workflow.
  3. Choose Hold to hold a confirmation for further processing at a later date.

Changing Confirmations

  1. Choose the Display tab page.

A list of held confirmations and confirmations that have been processed, but not yet approved, is displayed. If you changing confirmations for other employees, then you also see the confirmations created by them. On the right-hand side of the list, the statuses of the confirmations are shown. (You can view more detailed information regarding the status on the Status tab card of a particular confirmation)

  1. Select a confirmation from the list or use the search.

Searching for confirmations

You can enter the following search criteria:

Choose Go to start the search

  1. An overview of the selected confirmation is displayed to the right of the screen.
  2. Choose Change.

The remaining activities are the same for creating a confirmation.

  1. Choose Delete, to delete the confirmation.
