BEx Toolbar Functions

Use

As you start the Business Explorer Analyzer, the toolbar appears in Microsoft Excel. It allows you to access all the important functions for navigating and analyzing the query data.

The BEx toolbar functions are also in the Microsoft Excel main menu under SAP Business Explorer.

Functions

Opening

Choose Open if you want to open an available workbook or query. You get to the popup SAP BEx: Open... In the left-hand side of the screen, choose Workbooks or Queries to open an available workbook or query.

If you choose Queries, you can also define a new query for an InfoCube. To do this, choose New (from the right-hand side of the screen).

Save

With the Save function on the BEx toolbar you can

save the workbook as a new workbook

save the workbook as an existing workbook

save the current view as a permanent view for the query

If you save the workbook, then the query is not detached. You can call the workbook at a later date, create a connection to the Business Information Warehouse Server, and refresh the queries contained in the workbook.

Refreshing Queries

Refreshing the query means to request the current valid data from the BW Server. The query is automatically refreshed when you insert it into the workbook and when you change the navigational status, that is, unless you have activated the function Stop Automatic Refresh (see also: Settings).

Therefore, you only usually need the function Refresh Query in the following cases:

to update the data after you have opened a workbook

when you fill the query with new variable values

A query can only be refreshed if a connection exists between the Business Explorer and the Business Information Warehouse Server.

Choose Back if you want to undo your last navigation step.

Changing a Query View

You use the function Change Query View on the BEx toolbar if;

you want to change the arrangement of characteristics and key figures into rows, columns and free characteristics for the query and carry out several navigation steps one after the other (Change query view ® Change query (local view)

you want to change the definition of the query (Change query view ® Change query (global definition)).

display exceptions in the alert monitor, providing that some exceptions have been found for this query.

activate the function Repeat jump on double-click, to use double-click to jump to a saved view of query data

OLAP Functions for Active Cells

If you choose OLAP functions for active cell, you call the OLAP functions in the Business Explorer. They are available on the cells for the filter and results areas of a query. The context menu you call, depends on whether you select a cell in the filter area of the query, or a cell in the results area of the query.

Formatting

Formatting for the query underlines the type of data contained in a cell, highlighting the structure of the delivered results. Query formatting consists of

You can change the formatting of the query to configure the display however you like.

Layout

Using the layout functions, you can change the appearance of the screen for the query in the workbook.

You use the layout functions to

select queries in a worksheet

Using the functions under Tools you can insert, delete, detach, move / copy queries, consolidate text elements for queries, select cell areas or activate the SAP leaf protection.

Settings

Using the functions under Settings, you can determine whether queries are refreshed automatically, whether a connection to the BW Server exists, whether information on the BW Server is displayed, whether OLAP functions are available by clicking on the right mouse button, and whether log book entries are recorded.
