EnjoySAP - Enhancements in Shift Planning

Scope of Functions

The following enhanced functions and applications were developed in Shift Planning as part of the EnjoySAP project, and are available in the new release:

Improved Temporary Assignment Dialog Box

An employee can now be temporarily assigned from one organizational unit to another in both the target and actual plan. In this way, you can:

Until Release 4.5B, you could only create an exclusive temporary assignment from one organizational unit to another for your employees.

You can now assign a shared temporary assignment to your employees, that is, an employee can be available in more than one organizational unit on the same day.

In the temporary assignment dialog box, specify that the employee is to have a shared temporary assignment. This now enables you to make an employee available in more than one organizational unit on the same day. The availability consists of a requirements assignment and the working time of the employees who have a temporary assignment.

The temporary assignment dialog box now includes a fast entry function. This new function allows you to create temporary assignments for more than one period, without having to leave the dialog box each time.

Swap/Copy Employee Shifts

The target and actual plans in Shift Planning now include a swap/copy shifts function. This now allows you to copy the shifts of an employee, and to swap the shifts of two employees. In doing so, you can also specify whether any availabilities and requirement assignments should be copied or swapped at the same time.

Time Statement in Shift Plan

You can now choose to display a time statement list in the target and actual plans. This allows you to evaluate time data in a simulated manner, as well as to format the data and produce it in the form of a list. The results of the evaluation are displayed in a list, which you can compile in the form editor to suit your own requirements. Finally, you can then check the list against the evaluated time data, or send the list to your employees for information purposes.

Documentation (Notes/Text) on Shifts

You can now document and display each shift with full day working time to suit individual requirements in both the target and actual plan.

Shifts Indicated as Special Substitution Types

Until Release 4.5B, you could only use the Implementation Guide to specify the substitution type to be used when changing shifts or working times in the target or actual plan, or in employee preferences.

As of Release 4.6A, you can enter the desired substitution type in the shift plan under indicators

New Print Option: Print Shift Plan Using Standard List

You can now display and print the target and actual plans using SAP standard lists. The resulting list can now be parameterized and changed interactively.

Cost Assignment for Partial-Day Attendances

You can now assign costs for partial-day attendances in the day view of the target and actual plans. In this way, a partial-day cost assignment for working times is also now possible.

Displaying Availabilities in the Shift Plan Overview

As of Release 4.6A, you can display availabilities directly in the target and actual plans, by choosing to show an additional line for availabilities.

Availabilities with Any Time Interval

You can now create a staffing requirement with availabilities in Requirements Processing. The availabilities can be defined with any time interval. You therefore no longer have to define an availability by assigning it to a daily work schedule in the Implementation Guide.

New Report Temporary Assignment List

The RHSP_TEMP_ASSIGNMENT report creates a list of temporary assignments for individual employees for any period you specify. This report then evaluates the temporary assignments with regard to organizational and time-related information. This provides you with a comprehensive overview of any deviations from the original assignments of an employee to an organizational unit or cost center.

You can then use the evaluations to create statistics, or for target/ actual comparisons in case of different payments or internal cost allocations.

Edit Shifts During Period

The Shift during period function is new for Release 4.6A. You can now use the fast entry feature to create shift assignments over a specified period for your employees, without having to leave the corresponding dialog box.

There are several replacement strategies you can use that describe how to create shifts. For example:

You can now use shift sequences to create or replace shifts. You must first specify these sequences individually. In doing so, you can create a shift sequence containing patterns that only relate to a specific site, for example, combinations of working times and availabilities for each day in an entire week. You can then assign these to one or more employees for a specified period.

Effects on Customizing

Time Statement in Shift Plan

You define the contents of the time statement form in Customizing for Time Evaluation under Set Time Statement Form with Form Editor .

Editing Shifts During Period

You define the sequences in Customizing under Define Shift Abbreviation Sequence.

Indicator for Shifts as Special Substitution Types

You must execute the following steps to set the indicators for shifts as special substitution types in Customizing under Indicator for Shifts in Shift Plan:

Any changes made to shifts or working times are recorded in shift plans in Time Management in accordance with the settings you make under Indicator for Shifts in Shift Plan.
