Creating Initial Data Sets in the Consolidation Staging Ledger and Consolidation Processing Ledger 

Before you can automatically transfer individual financial data by means of realtime update or periodic extract, you need to create initial data sets in the ledger which will be updated in parallel with the general ledger. The relationship between data transfer procedure and update ledger is as follows:

During implementation of the FI application, old data from any previous financial accounting systems is transferred to the general ledger. Often only accumulated balances — which do not include the additional account assignments required for Consolidation — are entered during FI system implementation. In order to use the Consolidation system, you will need to maintain additional account assignments specific to consolidation, for example partner assignment or breakdown by consolidation transaction types.

If you intend to implement the Consolidation system at a later date, you are advised to manage additional account assignments as soon as the FI system is implemented.

Before activating realtime updating or periodic extract in Preparations for Consolidation Customizing, you should do the following:

How you create the initial data sets depends on whether the relevant documents exist in the FI system and whether they contain the necessary additional account assignments.

Automatic subsequent posting of FI documents

If the relevant documents for creating the data set exist in the FI system, they can be subsequently posted. If the additional account assignments are missing from a document, the system reads them from the master record data where possible.

The system can derive partner information from the master record when posting documents with affiliated vendors and customers, or from certain general ledger accounts to which a company is assigned in the master record.

In the case of entries restricted to the general ledger, for which a partner company cannot be derived from the master record, you must subsequently make manual adjustments or post further entries in FI.

Manual entry

If the FI documents required for creating the data set have already been archived, you will need to manually enter the balances in the consolidation staging ledger or the consolidation processing ledger.

Regular posting must not take place while you are making manual entries to the consolidation staging ledger. Otherwise problems could arise with the data update. You therefore need to ensure that no users post entries for the duration of the manual entry procedure.
