Electronic Account Statement: Glossary of Terms 

Bank Data Storage
Internal memory to which the information imported from the electronic account statement is saved.
The bank data storage consists of different tables and is used by other application components besides electronic account statement (manual account statement, Lockbox, and so on.).

 

Posting area
Depending on the external transaction code and your Customizing settings, a single line item from an electronic account statement can automatically trigger up to two posting transactions: A posting in posting area 1 (bank accounting or G/L accounting) and a further posting to posting area 2 (subledger accounting).

 

Posting type
The posting type must be entered for each posting specification you define in Customizing (clear subledger accounts in debit for example).

 

Posting rule
In Customizing, you can assign every external transaction to a posting rule. This posting rule determines which posting specification is triggered by the external transaction.

 

Posting specifications
Posting specifications describe which posting transactions are triggered by the information supplied in the account statement. The posting specifications that apply to a particular line item in an account statement are ultimately controlled by the external transaction code supplied with that line item.

 

Customer Function
Customer functions (previously known as user exits) enable customers to enhance the standard functions for processing electronic account statement to meet their own needs (see also interpretation algorithms, account modification).

 

External transaction
External transactions (or accounting transaction codes) are keys supplied by banks that identify the line items in the account statement (credit memo, check deposit for example).

 

Interpretation algorithm
In order to clear open items automatically, the information contained in the note to payee lines of the electronic account statement is evaluated (interpreted). The algorithms (check number search, document number search and so on) used to interpret this information is determined by the external transaction and your Customizing settings.

 

Account determination
Posting specifications are not defined using G/L account numbers, but using accounts symbols. The system determines the G/L account to be posted to using the definition of the account symbol. Account determination can be influenced by account modification.

 

Account modification
Account modification refers to the process by which account determination is influenced through the use of customer functions.

 

Account symbol
Account symbols are used when creating posting specifications. When postings are carried out using a particular set of posting specifications, they are then replaced by the G/L accounts to be posted to (bank clearing accounts for example).

 

Transaction type
Transaction types represent the assignment of external transactions to posting rules. Having entered a transaction type in Customizing, you then assign the appropriate banks to this type.

 

+/- Signs
+/- signs are entered in Customizing when assigning external transactions to posting rules. The + sign represents incoming payments and the sign represents outgoing payments. A different posting rule can apply to the same external transaction depending on the +/- sign.
