Entering an Opening Balance

You would use this procedure if, for example, you wanted to post a bank statement manually. You can then enter the old account balance in the control totals function, post the relevant debits and credits, and afterwards compare the balance updated by the system with the balance on the account statement.

Account statement for the following example:

Old account balance

10.000,00

Posting 1

+1.000,00

Posting 2

- 500,00

Posting 3

- 1.500,00

Posting 4

- 700,00

New account balance

8.300,00

Proceed as follows:

  1. From the General Ledger menu, choose Environment ® User parameters ® Control totals.
  2. Choose Goto ® Maintain control totals.
  3. Here you enter the account type, account number, and the opening balance of the account as well as the currency in the group Amounts per account. In our example, this is account type S, account number 113100, opening balance 10,000, and currency USD.
  4. Post the debits and credits as specified on the bank statement.
  5. The system automatically calculates the total debits and credits you post and adds them to the opening balance you have specified. For this example, assume that the total of the amounts you actually entered is 1700 USD.

  6. After you have posted all the amounts, go back to the control totals function by choosing Environment ® User parameters ® Control totals from the General Ledger menu.
  7. Choose Goto ® Display end balance. You can display the closing balance of the bank account in the group Amounts per account. Compare these with the new balance of the bank statement.
