Maintaining Absences With Quota Deduction 

Use

In the Human Resources (HR) component, absence types with quota deduction are absences that are to be deducted from a specific quota. You can only record these absences for an employee who is are already assigned to an applicable absence quota. The system automatically updates quotas.

A special recording screen is used to enter absences with quota deduction.

Prerequisites

Absence types permitted to be entered with quota deduction depend on the settings made in Customizing.

Absence types with quota deduction include:

· Time off for overtime (time in lieu)

· Leave

· Educational leave

· Special functions are also available for entering leave. For more information, see Maintaining Leave Using the Absences Infotype (2001).

· The following section describes the maintenance process for full-day absences. Note: Special functions are activated when Maintaining Partial Day Absences.

Procedure

  1. Choose the Absences (2001) infotype and enter a subtype or absence type for an absence to be recorded with quota deduction.
  2. Enter a time period.
  3. Select a processing mode.
  4. Check the validity period of the record and change it, if required.
  5. Choose Enter.
  6. The system automatically calculates the entries in all of the fields on the screen, except the Time field.

    · Depending on the settings made in Customizing, the system issues either a warning or error message if the "from" or "to" date of the record falls on an employee’s day off.

    · Quota already used is provided in the corresponding field. If the employee does not have enough quota remaining, the system displays an error message.

  7. To integrate the absence data in other R/3 System components, maintain the Accounting/Logistics specifications as required.

  9. Save your entries.

Result

An absence with quota deduction is now recorded for the employee.
