Payroll Journal

Purpose

The R/3 System enables you to create a payroll account for your employees. Payroll journals consist of detailed, selected payroll data for several employees.

Implementation Considerations

You use the Implementation Guide (IMG) to create the payroll journal as you require. The IMG contains the following forms for each payroll journal:

Payroll journal (new version)

Page header form

Payroll excerpts form

Continuation excerpts form

Totals display form

Payroll journal (old version)

Payroll journal form

In the IMG, you specify which payroll data is evaluated in the page header, payroll excerpts, continuation excerpts and totals page.

Scope of Functions

The payroll journal displays a view of selected payroll results. These are payroll results that have been created in a particular time interval or selected payroll period. You can set parameters when the payroll journal is created:

By specifying the payroll period or evaluation period, you can determine which payroll results are evaluated for the payroll journal.
You can specify which payroll accounting date type is used to determine whether a payroll result lies within the specified period.

To do this, use the Date identifier field.

If your country version uses the off-cycle payroll accounting functions, you can restrict the payroll results to be evaluated.

To do this, use the Payroll type and Payroll identifier fields.

You can specify when a page break is inserted, when a totals page is printed and whether the totals page is printed on a new page.

To do this, flag the Print retroactive runs field and choose Format retroactive accounting.

You can specify whether the payroll results are printed on a totals page for each employee or for all employees together.

To do this, flag the Print totals page only field.

You can specify how the retroactive accounting runs are printed.

To do this, use the Print retroactive accounting runs and Format retroactive accounting functions.

Payroll journal functions for the countries that use the old version of the payroll journal:

In Customizing, you can define which payroll results are evaluated when the payroll journal is created.
You can specify which organizational criteria will be used to sort and total the payroll results for the payroll journal.

To do this, choose Delimit.

You can define how wage types stored without a WPBP split in the payroll result are assigned to the organizational criteria.
You can specify an alternative currency to print the payroll results for the selected interval.

To do this, use the Alternative currency field.

Restrictions

You cannot use the payroll journal as a base for reconciliation with the Financial Accounting and Controlling application components.
