Reorganization 

Use

In SAPoffice, the administrator can reorganize all documents, i.e. delete them from the database. If the Delete function is used in SAPoffice, only the pointer from the folder to the document is deleted. In the reorganization, all documents which no longer have a pointer are deleted from the system. The document header (for documents and distribution lists), recipient info and the document text are all deleted.

Activities

  1. From the Business Communication Administration initial screen, select Folders ® Reorganization
  2. SAP recommends that you start the report with a standard variant. You can display all variants via the Get variant function. The standard variants are:
  3. SAP_DOK_TEST

    SAP_DOK_UPDATE

    SAP_MAP_TEST

    SAP_MAP_UPDATE

  4. If you do not start the report with a variant, define the following:
  5. - Reorganize type
    If you only want to reorganize objects of a certain type, enter the required type here.

    - Reorganize from/to year
    Enter the dates. All objects which were created during the specified period will be reorganized.

    - Run with database changes
    This selection means that the reorganization is executed physically. If you do not mark this field, only a test run will take place.

  6. Execute the reorganization in the background.

As a result, you will receive a list of the document types for each year and information about how many documents still exist and how many were deleted.
