Maintaining Inbound Distribution
– In the Recipient column, enter the recipient address with which the external document will arrive in the R/3 System. A recipient address can be the name of an internal user, a fax number or an Internet address.
A generic entry * or SPACE is also possible. If no recipient is specified in this column, there are no restrictions with regard to the recipient address. You are therefore confirming that all incoming documents of a certain type should be forwarded to a new recipient within the R/3 System.
In the Type description column, enter the type of recipient address. Use F4 possible entries help to select the appropriate type.
– In the New recipient column, enter the recipient within the R/3 System to which the incoming document should be forwarded. The incoming document can be forwarded to a single user, a shared distribution list, an organizational unit or an SAP object. A generic entry is not permitted.
In the Type description column for the new recipient, enter the new recipient type, as for the recipient address.
– If the recipient to which an incoming document should be forwarded is not located in the current R/3 System or the current client, please maintain the System and Client columns and enter the relevant system and/or client.
– If an incoming document should be sent to the original recipient as well as the new recipient, please select the column Additional selection.
– For incoming documents, a search is executed for the specified recipient via inbound distribution and then in address management. If no corresponding entry is found, the document is forwarded to the recipient address which is specified as the Alternative entry. This also ensures that a document is forwarded, even if the original recipient cannot be determined via inbound distribution or address management. (For example, if the original recipient has left the company.) For alternative entries, only the communication method (type description for recipient) as well as the address and type description for the new recipient should be entered. In this case, you do not have to enter a recipient, sender address or type description for the sender.
– In the Sender column, inbound distribution can be specified using the incoming sender address. A generic entry * or SPACE is also possible. You can enter a type for the sender address in the Type description column, just as you entered a type description for the recipient. AND links are used between sender addresses and recipient addresses.
All fax messages from customer ABC (fax number 067 721-2345) should be forwarded to distribution list DLIYZ in another linked R/3 System.
The following entries would be required:
Recipient: * (or SPACE)
Type description: fax number
New recipient: DLIYZ
Type description: Shared distribution list
System: C77
Client: 099
Sender: 067 721-2345
Type description: fax number
