Working with Folders 

The following functions can be executed in a folder structure or in a folder.

To access the folder structure, select Private folders or Shared folders from the SAPoffice initial screen.

To display a folder, choose the folder from the folder structure and select Display or Change.

Creating a folder

In the folder structure:

Folder ® Create

In the folder:

Document ® Create ® New

Make the required entries.

If you have called the function from a folder structure, fol is already entered as the type.

If you have called the function from a folder, you have to enter fol as the type.

Modifying a Folder

In the folder structure:

Folder ® Select

In the folder:

Document ® Change

This function can be used to change the folder attributes (name, title, etc.), not the contents.

Searching for a Folder

In the folder structure:

Folder ® Find

In the folder:

Document ® Find

If you have called the function from a folder structure, proceed in the same way as for folder selection.

If you have called the function from a folder, proceed in the same way as searching for documents.

Displaying/changing the folder header

Goto ® Header ® General or Specific

 

Displaying folder contents

In the folder structure:

Folder ® Select

In the folder:

Document ® Display

The folder contents are displayed in a list. You can configure which information is displayed in this way.

Exporting the Folder Contents to PC

In the folder structure:

Folder ® Move ® Ext. export

You can now edit the folder contents offline (outside R/3) from your PC.

Moving folders

In the folder structure:

Folder ® Move

In the folder:

Document ® Move ® Move

Select a folder. You cannot move a folder into a subordinate folder and you cannot move folders between private folders and shared folders, for instance.

Deleting Folders

In the folder structure:

Folder ® Delete

In the folder:

Document ® Delete

The contents of the folders are also deleted. A folder which has been mistakenly deleted can be retrieved from the private trash folder by users or from the shared trash folder by administrators.

Printing Folders

In the folder structure:

Folder ® Print

In the folder:

Document ® Print

If you have called the function from a folder structure, the folder header and the folder contents list are printed.

If you have called the function from a folder, the folder contents list is printed.

Displaying the Folder Path

In the folder:

Goto ® Folder

You can access one of the displayed folders directly. However, the Back function does not return you to the original folder.

Subscribing to a Shared Folder

In the folder structure for shared folders:

Folder ® Subscribe

You can display all your subscribed folders. You can delete a folder from the list of subscribed folders by selecting Folder ® Cancel subscription.
