Assigning a Monetary Budget (Top-Down) 

  1. Select the top budget structure element to which you want to assign a monetary budget.
  2. Choose Extras ® Budget structure element attributes.
  3. A dialog box appears for the budget structure element in question.

  4. Enter an amount for the budget, and specify the period for which the budget applies.
  5. If necessary, enter administrative information.
  6.  

    The Available budget button do not yet mean anything for the top-level budget.

  7. Choose Save and close.
  8. Select one of the next lower-level budget structure elements.
  9. Choose Extras ® Budget structure element attributes.
  10. A dialog box appears for the budget structure element in question.

  11. Choose Available budget.
  12. The system displays how much budget you can still allocate to this budget structure element. The available budget is the funding that a budget structure element’s budget can provide for other budget structure elements’ budgets once the budget already assigned has been deducted. It is the difference between the current budget (of the highest budget structure element) and the application of the budget (for other budget structure elements).

  13. If you want to use the available budget amount shown, choose Transfer. To return to the input screen, choose Continue.
  14. If you chose Transfer, the amount that was proposed by the system is displayed.

    Make sure that no more budget is available for other budget structure elements afterwards.

  15. Either accept the amount proposed, or enter a different original budget manually.
  16. Specify the period that applies to the budget.
  17. If necessary, enter administrative information.
  18. Choose Save and close.

By repeating steps 6 through 13, you can assign funds to other budget structure elements with monetary budgets.
