Creating Work Center and User Settings Centrally 

Use

To reduce the amount of administration for individual users, you can make settings centrally for a group of users. In this case, the users only have to enter their extension numbers.

You should send each user in the group a document which is a template for the user settings and the telephony server or which contains the template as an attachment. When the recipients call the attachment and enter their telephone number, their work center settings and user settings are created automatically.

Prerequisites

The template which is sent to the recipients must have been created.

The telephony server to which the work centers of the recipients are assigned must exist.

You must have authorization for SAPphone administration.

Activities

  1. Create a document in SAPoffice (System ® Services ® Office, Folders ® Outbox).

Alternatively, you can send the object directly by specifying the type OBJ and selecting the object SAPphone Administration.
  1. Select Document ® Create attachment ® Link to business object, and choose the object SAPphone Administration.
  2. A dialog box is displayed in which you can specify the template for the user settings and telephony server.
  3. Confirm your entries and select Document ® Send.
  4. From the send screen, enter the recipients and select Document ® Send again.

You can enter a distribution list as the recipient. For example, if you wish to create work centers for an entire department, the appropriate distribution list usually exists already. You can also choose an existing distribution list, expand the entries on the send screen and delete the recipients who are not to receive the document.

Result

The document is sent to the SAPoffice inbox of each recipient. When the attachment or the OBJ document is called, the recipients are asked to enter their telephone number. When a user has entered and confirmed the telephone number, the current work center is created as a SAPphone work center and the work center and template settings are assigned to the user.
