Editing Rental Unit: General Data 

Depending on the chosen usage category (commercial, non-commercial, used for both, derived from the usage type), you receive different screens and fields ready for input.
These settings are defined in Real Estate Customizing.
In the General Data function, maintain the following data and settings:

Extras ® History ® Occupancy type or double-click on the Occupancy type field.The occupancy type is the system status revealing how the rental unit is occupied (for example, vacant, utilized by third parties) |
Assign a cost center time-dependently |
Extras ® History ® Cost center or double-click on the Cost center field and assign the cost center.The respective cost center has to be created in Controlling. In this case, the system posts vacancy flows to this cost center during the debit position of vacant rental units. The postings are only made if The occupancy type is VACANT (system status VAC.) or Intended for rental (RENT)

The date in the Initial usage field is used as key date for the rent cap for the rent adjustments of privately-financed accommodations. If it is not filled, the construction year of the building (building master data) is used instead.
A rental agreement for a rental unit concluded if the date of the rental start comes after the date of the first usage.
Choose Edit ® Functions to carry out activities that change the status of the rental unit.

SAP recommend planning the RFVIBL00 report daily (the optimal time being between 0.00 and 6.00 AM).
Background
Certain changes to the rental agreements (such as notice, change of beginning / end of rental period, conclusion of a new rental agreement etc.) have an affect on the occupancy type history of the rental unit.
If such a change is applicable at the time when the change takes place (such as a new rental agreement being concluded on the current date, then the corresponding status of the rental unit is updated immediately. If the change is to be made in the future, the system is programmed to note that updating has to take place at the corresponding point in time.
The updating is carried out from the RFVIBL00 report.
If the report is not run regularly, there are the following consequences:
The status displayed in the Occupancy type is different from the corresponding status in the list of the system status in the rental unit master data. This would be the case if, for example, the occupancy type "THRD" is displayed when the first status of the system status is "VAC".
