Agent, Possible

Definition

User in the company’s organizational structure who is authorized to start a task and execute the corresponding work item.

The possible agents are generally expressed in an abstract way by means of organizational entities, jobs, or positions, rather than by a full list of user names.

Use

The assignment of possible agents to a single-step task is mandatory.

A single-step task cannot be processed as a work item if there are no possible agents. The possible agents always form the set from which the selected agents are determined. Restriction of this set to selected agents is optional.

Integration

By (statically) assigning possible agents to a task, the responsibilities for processing certain business activities can be made more transparent. The possible agents of a single-step task must be specified in its definition (under additional data).

The possible agents of a single-step task are the employees in the company who are organizationally responsible and authorized to execute the work item which represents the respective task at runtime.

Definition of the relationships between the possible agents and the single-step task is mandatory. This results in the total number of agents who can process the single-step task.

It is not necessary to specify the possible agents of a single-step task if the respective task has been classified as a general task.

Furthermore, the possible agents of a single-step task are those employees in the company who are authorized to start the single-step task in dialog.

The possible agents of a multistep task are those employees in the company who are authorized to start the respective task in dialog.

The possible agents are particularly significant in the following cases:

A work item which is displayed via the workflow outbox, workflow log, or selection report can be executed by its possible agents (not only by its selected agents).
