Function documentation Document Management in RE-FX  Locate the document in its SAP Library structure

Use

Using the Document Management (CA-DMS) component, the documents involved in the rental management process (such as master data summaries, letters, contract forms, presentations, structural drawings, or photos) can be:

     Classified

     Assigned to real estate object types (exception: comparative group of apartments)

     Displayed when the object is being processed

This gives you a constant overview of the documents involved in the process.

Prerequisites

You made the necessary settings for the document management system in Customizing:

In Customizing for Flexible Real Estate Management (RE-FX), choose General Settings for Master Data and Contract ® Document Management ® Document Management System ®

     Define Document Types

Here you make settings for the document types of the Document Management component. You also assign the real estate object types you want to use for document management.

     Assign Screen for Object Link

Here you enter the screen number so that the system can display and change the assignment of real estate objects in the transactions of document management.

Activities

       1.      To call up document management in the master data object, choose This graphic is explained in the accompanying text with the quick info text Document Management.

       2.      The Business Document Navigator appears.

       3.      In the top left part of the screen, you see the object type (such as Real Estate Contract) for which you called up document management, and any archived documents.

       4.      On the Create tab page in the bottom left part of the screen, you can specify whether you want to archive a standard document type or a document type for the object.

       5.      Select the document and assign it to the object.

       6.      You can create and display notes on the document by choosing This graphic is explained in the accompanying text with the quick info text Display and edit notes (Strg+F10).
