Recording Continuous Occupancy of Multiple
Reservation Objects
If you want to record continuous occupancy data for multiple reservation objects, you can use mass processing to process all of the reservation objects at the same time.
1. Start the Mass Processing tool from the RE Navigator (RE80). Or from processing of the reservation object, choose Goto ® Mass Processing for Continuous Occupancy.
2.
Choose
with
the quick info text Add Reservation Object and select the objects, for which you want to
record continuous occupancy. You can also drag and drop the reservation
objects you want from the object overview to the list of selected
objects.
3. Select an object from the list.
4.
To record a
continuous occupancy for the selected object, choose
with
the quick info text Insert Row.
5. Enter an occupant.
It could be that the role entered in Customizing is not assigned to the business partner you want to enter. In that case, you can make this setting directly from the RE Navigator:
a. Search for the business partner.
b. In the dialog for the business partner search, set the Create New Role for Partner indicator.
c.
Choose
with
the quick info text Continue.
The system assigns the role (entered in Customizing) to the business partner.
6. Enter a validity period and a desk assignment for the continuous occupancy.
7. Enter an account assignment object for allocating costs to Controlling.
If you assigned a cost center to the entered business partner, then the system automatically uses that cost center as the account assignment object.
8. If the continuous occupancy is for an external employee, set the External Reservat. indicator.
9. Enter a price factor.
The system uses the price factor to calculate the actual costs of the occupancy. For example, with a price factor of 0.50, the system calculates half of the costs that are specified for the object.
10. Save your settings.
11. Repeat steps 3 to 10 for all other occupants.
When you record continuous occupancy, the system takes into account the capacity of the room, which you entered in the measurements of the reservation object. If the capacity of the room is exceeded, so that it is no longer possible to enter occupants for it, the system issues a warning message.
12. Save your settings.
The system saves the continuous occupancy data for all of the reservation objects. Depending on the overall capacity of the reservation objects, they are either no longer available for continuous occupation or available with reduced capacity.

You have to post the costs of the continuous occupancy to allocate the costs in Controlling. Simply creating the continuous occupancy data is not sufficient to trigger the allocation of costs.
